Share a file without losing control of it

Who you can share with, what access levels exist, and why there is no public link.

Sharing in Drive is deliberately person-to-person. There is no "anyone with the link" option — a link only ever works for someone you have actually granted access to. Copying a link and sending it to a stranger achieves nothing.

This is a design decision rather than a missing feature. Public links leak: they get forwarded, pasted into chats and indexed. If a file matters enough to share, it matters enough to name who gets it.

Sharing something

  1. Open the item's menu and choose Share.
  2. Search for the person. For a file in your own Drive you can search any Hitaji user by name or email. For an organisation file, the search covers your organisation only.
  3. Choose their access: viewer or editor.

Everyone with access is listed under People with access, where you can change a level or remove someone. Review that list occasionally — access granted for one afternoon has a way of lasting years.

Folders in an organisation

An organisation folder can be visible to everyone in the organisation, to you alone, or to specific people. Sub-folders inherit access from a restricted parent, and Hitaji shows you where an inherited grant came from — so you can see why someone has access without hunting up the tree.

Personal folders have no such setting. They are private to you until you share them, which is the safe default.

Worth remembering

  • There is no public link in Drive — links only work for people you granted access.
  • Personal files can be shared with any Hitaji user; org files stay within the organisation.
  • Access is viewer or editor, and worth reviewing periodically.
