Lesson 1 of 4

Store and find files in Drive

Where your files live, and the shortcuts that stop you hunting for them.

My Drive is yours alone. Organisation is your team's, if you belong to one. Shared with me is what other people have given you access to. Those three cover almost everything.

Getting files in

Press Upload, or drag files straight onto the page. Several at once is fine — each gets its own progress row.

Hitaji checks the whole batch against your remaining space before uploading anything, so you find out you are short immediately rather than after a long wait.

The same New menu also creates things: a folder, or a new document, spreadsheet, presentation or form that opens straight into the editor.

Finding things again

Beyond search and folders, two features do most of the work:

  • Suggested puts recently opened files at the top when you arrive. Most of the time what you want is already there.
  • Smart views collect files by where they came from — From Hitaji Chat, From Notes, From Tasks, From Calls. When you remember the conversation but not the filename, this is the fastest route.

You can also filter by type — documents, spreadsheets, images, PDFs and so on — and sort by name, date or size.

Your space

The storage bar always shows your own usage. Your personal space counts your Drive files plus attachments from Notes and Tasks. Files shared in Hitaji Chat do not count against you.

Personal and organisation space are separate pools — your own files are never charged to your employer's allowance, and theirs are not charged to yours.

Worth remembering

  • Suggested and smart views find files faster than folders do.
  • Notes and Tasks attachments count toward your space; Chat files do not.
  • Personal and organisation storage are separate pools.
