Folders, and who can see them

Personal folders are private by default; organisation folders need a decision.

Drive has two homes and they behave differently. My Drive is yours. Organisation appears only if you belong to one, and it is shared ground. The difference shows up the moment you make a folder.

Making a folder

Open the New menu and choose New folder. The dialogue asks for a name — the placeholder reads Untitled folder — and you finish with Create.

In an organisation you also get a visibility choice: Everyone in organisation, Only me, or Specific people. In My Drive there is no visibility control at all, because a personal folder is always private to you until you deliberately share it. If you were looking for the setting and could not find it, that is why.

Choosing organisation visibility honestly

Everyone in organisation should be your default for ordinary working material. Hidden folders create duplicated effort and awkward requests, and most work is not sensitive.

Reach for Specific people when the content genuinely concerns a few people — a pay review, a contract under negotiation, something about a colleague. Only me is for a working draft that will be opened up once it is fit to read.

You can change your mind later. An organisation folder shows a banner offering to Restrict to specific people or to Make visible to everyone in organisation, so a folder can be locked down or opened up as the work moves on.

Naming for other people

In a shared space the folder name is the only instruction most people will ever get. Say what belongs inside, and avoid names that only make sense if you already know the project. Dated names such as a year or a quarter age well; “New”, “Final” and “Misc” do not.

The folder menu carries Copy link, Share, Rename, Move and Delete, so none of these decisions is permanent.
