Billed Time: turning hours into client work
Track which client hours are reviewed, unbilled or invoiced. This area is Personal Pro.
Before anything else: Billed Time is a Personal Pro feature, and the page says so. On a Starter plan you can see what it offers but not use it. If you do not bill anyone for your hours, you can skip this entirely.
For everyone else, this is where tracked time stops being a personal record and becomes money. Find it under Billed Time in the Work Center.
The client table
Clients are listed with Hours, To review, Unbilled and Invoiced. Those four columns are a pipeline, and reading them left to right tells you where your money is stuck:
- Hours — everything tracked against that client.
- To review — hours you have not checked yet. A large number here means you are behind on your own admin, and it is the cheapest of the four to fix.
- Unbilled — reviewed, correct, and not yet on an invoice. This is work you have done and not been paid for. It is the column to watch.
- Invoiced — sent out.
Two buttons
Review time opens a separate page where you go through tracked hours before they can be billed. Doing this weekly is far easier than doing it monthly, because you can still remember what an entry was about.
New engagement sets up the piece of client work that hours are billed against.
The habit that makes it work
Billed Time can only be as good as your tracking. Hours recorded three weeks later from memory are always rounder, usually lower, and impossible to defend if a client queries them. Track as you go, review weekly, and the unbilled column stops being a surprise.
Worth remembering
- Billed Time requires Personal Pro — the page tells you so.
- Unbilled is work done and unpaid; it is the column worth watching.
- Review weekly while you can still remember what each entry was.
