Sharing a single note
Free for everyone, with two rules that surprise people.
You do not need to share a notebook to share a note. Sharing individual notes, including publishing one as a public link, is free on every plan. It is the right choice whenever the other person needs one thing rather than an ongoing workspace.
Sharing with a person
Open the note and use Share note, on the toolbar or in the overflow menu. Search for the person and choose whether they may view or edit.
If the note is not yours, you can only grant Can View. Passing on edit rights you were given is not something a guest can do, which keeps control of a note with the person who owns it.
The organisation exception
Individual note sharing and public links are switched off inside organisation notebooks. That is not a fault. In an organisation notebook, access is meant to flow from notebook membership so that there is one list to check and one list to revoke. If you need a colleague to read a note in an organisation notebook, add them to the notebook.
Attachment visibility
This is the control most people miss. A shared note also shares its files, and often you want the words without every attachment.
The share panel includes an Attachment visibility list — every file in the note with a tick box, plus Select all and Deselect all. Anything you untick is hidden from everyone the note is shared with. Use it before you send a note that grew out of a folder of scans, rather than after.
Copying a link
The note dropdown has Copy link, which is how you point somebody at a note in a chat message. Bear in mind that a link is only a shortcut. It does not grant access, so share the note first and send the link second.
Worth remembering
- Sharing one note is free, even publicly — you do not need Pro.
- Note sharing and public links are disabled in organisation notebooks by design.
- Attachment visibility lets you share the words without every file.
