Lesson 4 of 4

Reading your timesheet, and your team’s

Entries, calendar, filters and the team view — and what to look for in each.

Recording time is the easy half. The value comes from reading it back, and the page gives you several angles on the same hours.

Entries and Calendar

The view toggle switches between Entries and Calendar. Entries is a list: precise, sortable in your head, the right view when you want totals or need to check a specific piece of work.

Calendar lays the same time out across the days, and it shows you something a list cannot — shape. Gaps, a day with nothing on it, three hours that never appear before noon, work spilling into evenings. If you have ever ended a week feeling busy and unproductive, the calendar view usually explains it in about ten seconds.

Narrowing down

Use the All Workspaces filter to look at one area of your work at a time, Search tasks... to find a particular one, and Filter Timesheet for anything more specific. If you see No data for this period, check the period and the filters before concluding you recorded nothing — a workspace filter left on from last week is the usual culprit.

Your timesheet versus the team’s

The breadcrumb calls your own view My Timesheet. If you can reach both, a scope switcher lets you move to the Team Timesheet, which needs an organisation. If you never see the switcher, you have access to one of them only.

Read a team timesheet for distribution rather than judgement. Is everything landing on one person? Did the week go where you agreed it would? It is a poor tool for comparing colleagues, because hours are not output.

Comparing against what you expected

The most valuable habit is a two-minute comparison at the end of a week: for a few tasks, how long did you think they would take, and how long do the entries say they did? People are consistently wrong in the same direction, and once you know your own factor your planning improves permanently.

Add anything missing with Add Entry before the week closes, and remember that entries lock once a task’s due date has passed.

Worth remembering

  • Entries gives you totals; Calendar shows you the shape of your week.
  • "No data for this period" usually means a filter, not a missing record.
  • Read the Team Timesheet for distribution of work, not to rank people.
